6 Important Questions to Ask Your Caterer

1.      Who’s in Charge of Helping You Plan?

First things first, find out exactly who you will be working with the entire time. This ensures that everything you ask for is taken care of and there will be no confusion or miscommunication. The person designated to your event will work with you to gain a better understanding of your expectations to ensure that everything runs smoothly from start to finish.

2.      Are Any Additional Services Included?

Asking about other services they include is important to determine any unforeseen costs that you might incur. So, in addition to providing food, make sure to ask if the caterer will be providing silverware, plates, server trays, linens, tables and etc. Asking this early on is extremely important for organization, and paying attention to the small details will help you save money and allow you to allocate your budget elsewhere.

3.      Are Additional Equipment/Services Required From the Venue?

Some caterers only have a limited amount of supplies for set up on food and beverage stations. To avoid more unforeseen costs, always ask if they will require any additional linens, tables, and supplies from the venue. Some caterers will leave out these details because they expect certain areas to be provided and set up by you. If you aren’t prepared for these barriers you could end up being charged by both your caterer and the venue. It's very important to the process for you to lay out clear expectations between you, your caterer, and your venue.

4.      What is the Cost for Both Food and Services?

Asking for a breakdown of costs for food and services is vital, as this makes it much easier to determine the best caterer to fit within your budget. After you’ve provided some ideas for your perfect menu and any extra services you’ll need, your caterer will have a more transparent number for the cost per person. In doing this, you can allot a fair amount of your budget towards food when planning your event – after all, guests always remember if the food was good or bad, so make sure to budget accordingly

5.      Do They Have a Business License & Insurance to Show to Your Venue?

After you determine if your venue allows outside caterers, you should ask what type of validation they will require from your caterer. Typical requirements include proof of a business license and a minimum insurance liability policy of $1,000,000. Most venues want to obtain a business license to ensure the catering company meets all health department standards, and the insurance policy to protect both parties from incurring any liability costs.

6.      Can They Provide References From Past Events?

Asking this to any potential caterer will give you a better idea of how versatile they are in their services. It also gives you some insight into their capability to handle an event like yours. Providing references and information on past events (and clients) will showcase their successful outcomes and help you to determine if they are the right caterer for your event.
